[Volcano_Vista_HS] VVHS Needs Assistance Sorting SBA Testing Results

Volcano Vista High School needs four or more people to help us sort SBA results, stuff envelopes, place labels on envelopes, and distribute the results. The process is explained below, and we'd like to distribute the results next Thurs. after school.

Volunteers are needed to organize the test results (should take less than a day). FYI-A little over a thousand students took the SBA last year.

We have two copies of SBA test results and a letter for each student. One copy of the results will remain with the school and be filed in the student's cum file. The other is the parent's copy.

The test results are in alphabetical order by graduation year.

The process I envision is below and involves a couple sets of volunteers:

1. Collate test results and letter. One set of volunteers match the letter with the test results by student.

2. School copies. VVHS copies would remain in alpha order and be placed back in the box, so we can file them later in the cum files.

3. Labeling envelopes. Another set of volunteers place labels (student name & ID #) on envelopes.

4. Envelope stuffing.  Each student's test results and letter are folded together and stuffed into the proper envelope.

After this work is done, parents can pick up their student's test results. This process would entail volunteers manning tables:

1. Envelopes will be in alpha order by graduation year because it's already in that order. The results will be separated into groups such as A-D; E-H etc. or however we divide up the results.

2. Each person will have a roster of that section of the alphabet. The roster will include the student's name, ID#, and parent's name.

3.  Parents who pick up the results will show their ID, which matches the name on the roster.

NOTE: The volunteers can only be those who've completed the APS background check and cleared our volunteer process because we're dealing with detailed student information. We appreciate the assistance; this is such a critical item, and we're pressed on time to get it out to parents.

In this process, only parents can pick up the information. Anything that remains will be mailed home.
